Events calendar and iCal sharing
The calendar isn't just for the sales team booking events — it's the operations source of truth for kitchen, AV, housekeeping, and front desk. This article covers how to read it and how to share it.
Reading the calendar
Events module → Calendar. Time on the horizontal axis, venues on the vertical. Each block is an event with the host name and an indicator of size or revenue. Click to open and edit. The view supports day, week, and month — start with month for planning, switch to day during operations.
Filtering
The venue filter (top of the calendar) lets you focus on one space — useful when the ballroom calendar is what your client wants to see. Combine with status filter to hide cancelled/tentative when planning around confirmed bookings only.
Setting up iCal sharing
Events → Settings → iCal Integration. The page generates a unique feed URL for your property. Copy it and paste into the "Subscribe to calendar by URL" option in:
- Google Calendar — Other calendars → Add → From URL
- Apple Calendar — File → New Calendar Subscription
- Outlook — Add Calendar → Subscribe from web
After subscription, the feed appears alongside the team member's other calendars and refreshes automatically. The URL is sensitive — anyone with it can read your event schedule, so distribute it deliberately.
Practical pattern
Most properties give the iCal URL to the kitchen lead, the AV lead, and the operations duty supervisor. Each subscribes in their personal calendar so events show up next to their other commitments. Anything that changes in HotelBee flows out automatically — no "please print the events sheet for tomorrow".
