How to Install QZ Tray and Connect Your Printer in Hotelbee

Introduction

QZ Tray is a small application that allows Hotelbee to communicate directly with your POS printer. It must be installed on the computer where printing will take place, and it must remain running in the background whenever you need to print. The following steps will guide you through downloading the application, installing it, and connecting your printer to Hotelbee.

Step 1 – Access the Learn Center

Log in to your Hotelbee account and open the Help page. Once the page has loaded, look at the menu on the left-hand side and scroll down until you find the Learn Center section. This is where all downloadable tools and printer updates are located.

Step 2 – Download QZ Tray

Inside the Learn Center, you will find three available downloads, along with several updates for the printer. Locate the QZ Tray application and click on it to begin the download. Choose the version that matches your operating system (Windows or macOS). Save the file in a location you can easily find, such as your Downloads folder.

Step 3 – Install the Application

Once the download is complete, open the installation file. Follow the on-screen instructions, accepting the default settings unless instructed otherwise. When the installation finishes, launch QZ Tray. You will know it is running when its icon appears in the system tray, located in the bottom-right corner of your screen (or in the menu bar on macOS). The application must stay open at all times while printing is in use.

Step 4 – Connect and Verify Your Printer

Connect your POS printer to the computer using the appropriate cable, or ensure it is connected to the same network if it is a network printer. Turn the printer on and confirm that your operating system recognizes it. You can verify this by checking the list of installed printers in your computer's settings. If the printer does not appear, install any required printer updates available in the Learn Center before continuing.

Step 5 – Configure the Printer in Hotelbee

Open the POS settings in Hotelbee. From the list of available printers, select the printer you have just connected. At this point, a prompt from QZ Tray will appear asking you to authorize the connection between Hotelbee and the application. Click Allow to grant permission. This authorization is required so that Hotelbee can send print jobs securely to your printer.

Step 6 – Perform a Test Print

To confirm that everything has been set up correctly, perform a test print from the Hotelbee POS settings. If the receipt prints clearly and completely, your configuration is complete. If nothing prints, make sure QZ Tray is still running, the printer is switched on, and the correct printer has been selected.

Trobleshooting problems

If QZ Tray does not open after installation, it may need to go through a quick initial configuration before it can run properly. Once the application has been installed and configured, its icon will appear in the bottom taskbar of your screen, next to the notifications, volume, and internet icons. If you do not see the icon there, click the small arrow in the taskbar to display hidden icons, as QZ Tray may be placed among them. Should the application still fail to start, try restarting your computer and launching QZ Tray again from the Start menu. Make sure that no other instance of the application is already running, as this can prevent it from opening. Once the icon is visible in the taskbar, the application is active and ready to handle print jobs from Hotelbee.

Common gotchas

  • Two waiters on two devices, but only one has QZ Tray — the other can't silent-print. Install on every device or fall back to a shared print server.
  • Printer changed name in the OS — silent_to_printer config breaks. Re-pick from the dropdown after the rename.
  • Browser blocks the QZ Tray WebSocket — usually a corporate proxy or aggressive antivirus. Allow the connection or whitelist QZ Tray.
  • Reboot loses connection — Add it to startup items.

Important Reminder

QZ Tray must remain open in the background whenever printing is required. If the application is closed, printing from Hotelbee will not work until it is reopened.
