1. Who we are
HotelBee is operated by Strowberry Code ("HotelBee", "we", "us"), with registered office in Tirana, Albania. For the personal data covered by this policy, HotelBee acts as the data controller in respect of website visitors, prospects and account administrators. For Customer Data processed on behalf of our hotel customers, HotelBee acts as a data processor, see our Data Processing Agreement.

2. Data we collect
Data you give us
When you create an account, request a demo, contact sales, or sign up for the newsletter, we collect the information you provide, typically your name, work email, company / property name, country, role, and the contents of your message.
Data from your use of the platform
When you use the platform we collect technical data such as IP address, device and browser information, time zone, the pages you visit, the actions you take, and timestamps. This is used to operate, secure, debug, and improve the platform.
Data from third parties
We may receive data from third parties such as our payment processors (status of payments, fraud signals), our channel partners (booking notifications), and analytics providers (aggregated usage). We use this only for the purposes described in this policy.
3. How we use personal data
We process personal data to:
- provide, maintain and secure the platform;
- create and manage accounts and process subscriptions;
- respond to enquiries, support requests and demo bookings;
- send service-related communications (billing, security, product changes);
- send marketing communications, where you have opted in or where permitted by law;
- measure and improve the platform through aggregated analytics;
- comply with legal and regulatory obligations.
4. Legal bases (EU/UK GDPR)
Where the EU or UK GDPR applies, we rely on the following legal bases for processing: (a) performance of a contract, to provide the platform you have subscribed to; (b) legitimate interests, to operate, secure and improve the platform, and to communicate with prospects in a business context; (c) consent, for marketing emails to individuals and for non-essential cookies; (d) compliance with legal obligations, for tax, accounting and lawful requests.
6. International transfers
Our primary infrastructure is located in the European Economic Area. Where personal data is transferred outside the EEA, for example to a sub-processor in the United States, we rely on appropriate safeguards such as the EU Standard Contractual Clauses, supplementary measures where needed, and adequacy decisions where available.
7. How long we keep data
We keep personal data only for as long as necessary for the purposes described in this policy, unless a longer retention is required by law (for example tax records). Account data is kept while your account is active and for thirty (30) days after termination to allow export. Marketing data is kept until you unsubscribe or object.
8. Your rights
Subject to applicable law, you have the right to access, rectify, erase, restrict, port and object to processing of your personal data, and to withdraw consent at any time without affecting the lawfulness of prior processing.
To exercise any of these rights, write to privacy@hotelbee.co. You also have the right to lodge a complaint with your local data protection authority.
9. Security
We apply technical and organisational measures appropriate to the risk, including encryption in transit and at rest, role-based access controls, regular backups, audit logging, vendor due diligence, and an internal information security programme aligned with industry standards.
11. Children
The platform is not directed at children under 16, and we do not knowingly collect personal data from them. If you believe a child has provided us with personal data, please contact privacy@hotelbee.co and we will delete it.
12. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be notified through the platform or by email at least thirty (30) days before they take effect.
