Cookie Policy

This Cookie Policy explains what cookies are, which ones we set on hotelbee.co and inside the HotelBee platform, why we use them, and how you can control them at any time.

1. What are cookies?

Cookies are small text files that a website places on your device when you visit it. They let the site recognise your browser on subsequent visits, for example, to remember that you are logged in, that you accepted a banner, or that you prefer a certain language.

Beyond cookies, this policy also covers similar technologies, local storage, session storage, browser fingerprinting, web beacons and tracking pixels, collectively referred to here as "cookies" for simplicity.

2. Categories of cookies we use

We group cookies into four categories. Strictly necessary cookies are always on; the other three categories run only after you give consent through our cookie banner.

2.1 Strictly necessary

These cookies make the site work, authentication, session continuity, CSRF protection, load balancing and storing your cookie preferences themselves. They cannot be turned off because the site would not function without them.

  • hotelbee_session, keeps you logged in. Session-only.
  • hotelbee_csrf, anti-forgery token for forms. Session-only.
  • hotelbee_consent, stores your cookie preferences. 12 months.
  • NEXT_LOCALE, remembers your language choice. 12 months.

2.2 Analytics & performance

Aggregated data on which pages people visit, how long they stay, and where they drop off. We use this only to make the website better, never to identify individual visitors. Analytics cookies run only with your consent.

  • Plausible (cookieless aggregate analytics), first-party. No personal data, no cross-site tracking.
  • Microsoft Clarity (heatmaps and session replay), third-party. Personal identifiers are masked. 12 months.

2.3 Marketing & advertising

These cookies measure the effectiveness of our advertising campaigns, for example, attributing a sign-up back to a Google Ads click, and help us avoid showing ads to people who have already signed up. Marketing cookies run only with your consent.

  • Google Ads conversion tracking, third-party. 90 days.
  • Meta (Facebook & Instagram) Pixel, third-party. 90 days.
  • LinkedIn Insight Tag, third-party. 90 days.

2.4 Functional

Optional cookies that improve experience without being strictly necessary, embedded YouTube videos, the live chat widget on hotelbee.co, and the Calendly meeting embed for booking demos.

  • YouTube (embedded videos), third-party. Up to 24 months.
  • Intercom (sales chat), third-party. 9 months.
  • Calendly (demo booking), third-party. 12 months.

3. Managing your cookie preferences

You can change your cookie preferences at any time by clicking "Cookie preferences" at the bottom of any page. Changes take effect immediately, non-essential cookies that you previously consented to will be deleted.

You can also block or delete cookies through your browser settings, most browsers let you control them on a per-site basis. Blocking strictly necessary cookies will break parts of the site (most notably login).

  • Click the "Cookie preferences" link in the footer to reopen the consent banner.
  • Use your browser settings: Chrome, Firefox, Safari, Edge all expose per-site cookie controls.
  • Use Do Not Track or Global Privacy Control headers, we honour both as a withdrawal of consent.

4. Cross-border transfers

Several of the cookies above are set by service providers based outside the European Economic Area, primarily in the United States. Where we use such providers, transfers are covered by the EU–US Data Privacy Framework or by Standard Contractual Clauses where required. See our Privacy Policy for the full transfer assessment.

5. Children

Our website and platform are not directed at children under 16. We do not knowingly set cookies on devices belonging to children. If you believe we have inadvertently done so, contact privacy@hotelbee.co and we will delete the data immediately.

6. Changes to this policy

We update this Cookie Policy whenever we change which cookies we use or how we use them. Material changes are announced at least 14 days in advance through the cookie banner and via email to logged-in customers. The "last updated" date at the top of this page always reflects the current version.
