One resort, one platform, rooms, F&B, spa and events.

Full-service resorts run on five or six disconnected systems and reconcile them with a spreadsheet at month-end. HotelBee replaces that with a single platform where every outlet shares the guest, the folio, the inventory and the financials, and where one consolidated bill arrives at check-out.

Why resorts struggle

Five systems, one guest. Something always breaks.

Talk to any resort GM and they will list the same five complaints. We have heard them so many times we built the platform around them.

  • Five logins, no shared guest

PMS, POS, spa, golf, and channel manager each store their own guest record. Nobody knows that the suite-stayer at table 4 is the same person who left a bad review last Tuesday.

  • F&B post-to-room takes three days

Bar tabs, restaurant chits and spa charges land on the room folio days late, after manual reconciliation, and sometimes never make it onto the final bill at all.

  • Group bookings live in spreadsheets

Wedding parties, MICE blocks and tour groups are tracked in shared spreadsheets that nobody trusts and everybody edits. Allotments leak, room blocks expire silently.

  • No single revenue picture

Rooms revenue is tracked in the PMS, F&B in the POS, spa in a third system. Building a real total-revenue dashboard takes the controller a full day every month.

  • Guest experience is fragmented

A resort guest interacts with the brand twenty times in a stay. Most resorts cannot give that guest a single QR code, a single welcome message, or a single in-room ordering screen.

Suggested stack

A resort-shaped starting point, pick what you need.

We put together three tiers based on what 180+ resorts on HotelBee actually run. Most full-service properties go live with Core + Recommended on day one and add Optional modules in months 4–6.

Bundles are not contracts, switch modules on or off per month. Most resorts pay €6–€12 per active room per month for Core + Recommended.

A day at the resort

A real Saturday, minute by minute.

This is a real workflow from a 240-room beach resort that switched to HotelBee in 2024. Numbers are anonymised but the sequence is exactly how the day actually runs.

  1. 07:30

    Breakfast posts in real time

Half-board guests scan a QR at breakfast, the POS recognises the guest, validates the meal plan, and zero-rates the bill. Walk-ins get charged on the same screen.

  2. 11:00

    Spa rebooking, automated

Bee AI sends a rebooking suggestion to yesterday's 30 spa guests with a single tap to confirm. Conversion rate on the test property: 21%.

  3. 14:00

    Pool service charges to room

Pool waiters scan room cards on a handheld POS. The charge hits the in-house folio in under two seconds, no chits, no end-of-day reconciliation.

  4. 19:30

    Dinner with one folio

A family on dine-around picks any of the four restaurants. Every charge consolidates onto the same room folio, with allergens and preferences travelling between outlets.

  5. 23:00

    One report, all revenue

The night audit runs once across rooms, F&B, spa, events and retail. The GM gets a single morning email with total revenue, ADR, RevPAR, RevPAG and TRevPOR.

Built for the way resorts actually run

A short checklist.

  • All-inclusive plans done right

Configure entitlements per package, meals, drinks, spa credits, activities, and the platform enforces them at every touchpoint, automatically.

  • Multi-outlet F&B without spreadsheets

Run six restaurants and three bars on one POS with shared menus, shared inventory, and shared cost-of-goods reports.

  • Group housing, properly

Wedding parties, tour groups and corporate retreats can be split, merged, or rooming-listed inline, no separate "groups" software.

  • Loyalty and recognition that scales

Repeat guests, brand-level loyalty, and birthday/anniversary recognition that triggers across every outlet, not just the front desk.

  • Compliance and reporting, in one place

Tourism tax, e-fiscal receipts, country-specific room-night reports, handled centrally and audited monthly by our compliance team.

  • Open APIs for the long tail

Tee-time systems, watersports operators, kids-club software, connect them via our public API and watch the charges land on the room folio.

We replaced four systems with HotelBee in a single off-season. The first month afterwards we had a complete revenue picture for the first time in fifteen years, and our F&B post-to-room dropped from 72 hours to live. It changed how the whole leadership team makes decisions.

Common questions

What resort GMs always ask.

  • Eight to twelve weeks for a 200–400 room full-service property. We run a discovery week with your GM, controller, and outlet leads; build the configuration in parallel with training; and migrate live during a single weekend cutover. We co-staff the front desk, F&B, and spa for the first 14 days post go-live.
