One QR code that carries a guest’s balance, from the pool bar to the front desk.
Every guest gets a digital wallet behind a single QR code. They top up at the desk or win credit you grant them, then spend it anywhere you take payments. The waiter scans the code, the bill closes against the balance, and the guest gets an email with what is left, no card, no cash, no app to install.
- QR-code balance
- Fiscalized top-ups
- Refill anytime
Prepaid credit that spends like cash, everywhere you sell.
Scan, charge, done
The waiter picks the Wallet method, scans the guest’s QR, and the order closes against the balance. No card terminal, no change, no folio room-charge dispute at checkout. The scan is required on the server, so a balance can never be drained without the code in front of staff.
Underwrites a minimum spend
A table, a cabana or a club entry with a minimum spend becomes prepaid credit instead of an awkward bill at the end. The guest loads the minimum into their wallet up front and draws it down drink by drink, all weekend.
Fiscalized the moment they top up
A top-up is sold as a real product through a POS point, so the fiscal receipt is issued at purchase. Redemption afterwards is a clean, non-fiscal draw against credit the guest already paid for, no double-fiscalization, no reconciliation headache.
A balance that lives in one place, not on a paper card.
The wallet, the POS and the guest profile all share one ledger. There is nothing to integrate and nothing to reconcile, the balance you see is the balance the kitchen sees.
- 01
Issue the wallet
Create a wallet for a registered guest or a walk-in (just a name and a phone). HotelBee mints a unique 12-character code, renders it as a QR, and can email it straight to the guest.
- 02
Load or grant credit
The guest buys credit at any POS point you allow, paid by cash, card or bank. Or you grant it, a comp, a prize, a goodwill gesture, with a note that lands in the ledger.
- 03
Spend it anywhere
At the bar, the restaurant or the front desk, staff scan the QR and charge the bill to the balance. Credit is drawn soonest-to-expire first, so nothing quietly lapses while a guest is still on property.
- 04
The guest stays in the loop
Every top-up and every spend fires an email to the guest with the new balance. Lost the code? Reissue it in one click and the old QR stops working immediately.
Everything a real cashless property actually needs.
One QR per guest
A short, human-readable code (no look-alike 0/O or 1/I characters) rendered as a QR. One persistent wallet per guest profile, so the balance follows them across stays and visits.
Walk-ins, no account required
A day guest with no profile still gets a wallet, just a name, email or phone. Walk-in cards carry a short default expiry so an un-funded card never lives forever.
Scan-to-pay at the POS
Pick the Wallet tender, scan the guest QR, and the bill closes against the live balance. The POS validates the wallet against a fresh server balance before it charges, so a stale screen never overcharges.
Choose where it spends
Decide exactly which POS points accept wallet credit, the bar but not the spa, the whole resort, or one pop-up. Optionally let credit pay down a room folio too.
Redemption guardrails
Set a minimum redemption amount and a maximum percentage of any single order that wallet credit can cover, so prepaid balances complement a bill instead of replacing every euro of it.
Expiry that you control
Separate expiry windows for bought credit, earned credit and walk-in cards, in days. Leave it blank and credit never expires. A nightly sweep retires lapsed credit and writes it to the ledger.
A ledger for every cent
Top-ups, spends, grants, expiries and reversals are all recorded as dated transactions against the wallet. The header balance is just a cache, the ledger is the source of truth.
Grant credit on the fly
Comp a guest, settle a complaint, or hand out a prize by adjusting the balance up, with a note. Adjust it down just as easily. Every grant is attributed to the staff member who made it.
Email the QR and the receipts
Send the wallet QR to the guest by email, and keep them posted with an automatic balance notice after every top-up and every spend.
Tip the team from leftover credit
When a guest pays a check from their wallet and still has a balance, the confirmation email invites them to add a tip for the staff who served them, drawn from the credit that’s left. The tip is recorded against the order and the waiter’s shift, single-use, capped at the bill, and valid for 48 hours.
What teams always ask before switching it on.
- No. The wallet is just a QR code. The guest keeps it in their email, their phone’s photo roll or a printout, and staff scan it at the POS. There is nothing for the guest to download and no account to create for a walk-in.
Part of one connected platform, not a bolt-on.
- Loyalty Points
Turn the same wallet into a rewards program, guests earn credit on every stay and every check, then spend it from the same QR.
