How to Create a New Client in HotelBee: A Step-by-Step Guide
Efficient client management is at the core of any successful hotel operation, and HotelBee, a comprehensive hotel service program, offers a straightforward process for adding new clients to your system. Whether you are onboarding a walk-in guest, a corporate account, or a returning customer, the platform's client creation feature ensures that all essential information is captured accurately from the very first interaction. Below is a detailed guide outlining the steps required to create a new client profile in HotelBee.
Step 1: Access the Dashboard
Begin by logging into your HotelBee account. Once logged in, you will be directed to the main Dashboard, which serves as the central hub for navigating all of the program's features and modules.

Step 2: Navigate to the Clients Section
From the Dashboard, locate the Clients section, typically found in the upper navigation menu. Click on it to open the client management area, where all existing client records are listed and organized for easy reference.
Step 3: Click "Create New"
Within the Clients section, look for the Create New button. Clicking this button will open a client registration form, prompting you to enter the details required to establish a new client profile.

Step 4: Fill in Personal Information
The first section of the form requires Personal Information, such as the client's full name, date of birth, gender, and nationality. Ensuring accuracy at this stage is essential, as this information will serve as the foundation of the client's profile throughout their relationship with the hotel.
Step 5: Fill in Contact Information
Next, complete the Contact Information fields, including the client's phone number, email address, and any preferred method of communication. This information allows hotel staff to reach clients efficiently for reservations, confirmations, or customer service purposes.
Step 6: Fill in Address Details
Proceed to the Address section, where you will input the client's residential or billing address, including street, city, postal code, and country. This data is particularly useful for invoicing, correspondence, and loyalty program management.
Step 7: Fill in Document Information
Finally, complete the Document Information section by entering relevant identification details, such as passport number, national ID, or other legal documents, along with their issue and expiry dates. This step ensures regulatory compliance and supports identity verification during check-in.
Step 8: Save the Client Profile
Once all fields have been completed accurately, click Save to finalize the client's profile. The new client will now appear in the Clients section, ready to be linked to bookings, invoices, and future interactions.
By following these steps, hotel staff can maintain a well-organized, accurate, and easily accessible client database within HotelBee, ultimately enhancing guest service and operational efficiency.

Property Management SystemHow to do ficalization with TIN
Before fiscalizing any transaction in HotelBee, a client profile must be created with full details, including a TIN for B2B invoices. Room reservations are fiscalized upon check-out finalization, while bar and restaurant orders are fiscalized when the POS order is closed.
Property Management SystemHow to issue an e-invoice
HotelBee integrates e-invoicing directly into its reservation workflow. Creating a client profile with a TIN enables B2B fiscalization; without one, a standard B2C receipt is issued instead. Once the stay ends, staff simply finalize the reservation, and HotelBee fiscalizes the invoice in that same step.
