Reservations Calendar

The Reservations Calendar is the room you'll spend most of your time in. It shows every room as a row, every day as a column, and every reservation as a colored block — so you can see at a glance who's where, who's checking in tomorrow, and which rooms still have availability.

How the calendar is organized

  • Rows are individual rooms, grouped by room type so similar rooms cluster together.
  • Columns are days. Today is highlighted.
  • Reservation blocks span the check-in date through the night before check-out.
  • Left sidebar shows room names and a color tag for housekeeping status.
  • Bottom row shows daily occupancy as a percentage with a color bar.

Zoom levels

On desktop you can switch between 7-day, 14-day (default), 30-day, and 60-day views from the zoom buttons in the toolbar. Use 7-day for tight day-by-day operations, 14-day for the upcoming week's planning, 30-day for the month, and 60-day for a wider forecast — useful when groups or events are filling weeks ahead. Mobile defaults to 30-day to fit more on a smaller screen.

Reservation status colors

  • Blue — Approved (booked, not yet arrived).
  • Green — Checked in (in-house now).
  • Yellow — Checked out (stay finished).
  • Purple — On hold (tentative reservation, not confirmed).
  • Gray — Out of order (room blocked for maintenance).
  • Purple striped — Allotment block from a channel manager or contracted partner.

Indicators on each reservation

  • Green dot — fully paid.
  • Orange dot — partly paid (deposit received but balance still open).
  • Note icon — internal notes attached to this reservation.
  • Group icon — part of a group reservation, with a colored stripe matching the rest of the group.

Housekeeping status

The color tag next to each room name shows housekeeping status — Clean, Inspected, Dirty, Occupied, Room service, or Out of order. Glance at the sidebar before assigning a walk-in to make sure the room is actually ready. A yellow-highlighted room name means there's a daily-use reservation today or tomorrow.

Occupancy bar

The bottom row shows daily occupancy: green for 90%+, yellow for 70–89%, orange for 50–69%, gray below 50%. Spot the high-occupancy days at a glance and use them as cues for pricing adjustments or upsells.

Toolbar and controls

The toolbar across the top has everything you need without leaving the calendar:

  • Arrows + date picker + Today — navigate days, jump to a specific date, or snap back to today.
  • Search — find a reservation by guest name or reservation ID.
  • + New Reservation — open the full creation form.
  • Pricing & Rate Calendar — jump to rate plans without losing your place.
  • Day report — quick summary for a single day (arrivals, departures, occupancy, revenue).
  • Day Use View — switch to an hourly view for daily-use bookings.
  • Print — print-optimized layout of the current view.
  • Legend — toggle the color and indicator key.

Create a reservation from the calendar

Three ways, depending on how much you already know:

  • Click an empty cell — opens the form pre-filled with that room and date.
  • + button or press N — opens the empty new-reservation form.
  • Search an existing client — find a returning guest first, then create a reservation already linked to their profile.

Edit reservations directly on the calendar

Hover over a reservation to see a quick summary; click to open the full details. To move a guest to a different room or date, drag the block. To change dates, drag the left or right edge to extend or shorten the stay. Both actions trigger a confirmation that asks whether to keep the original price or recalculate against the rate plan.

Search and filter

Type a guest name, reservation ID, or part of either into the search box and the calendar dims everything that doesn't match. Press F from anywhere on the page to focus the search field.

Status chips above the calendar let you toggle Approved, Checked In, Checked Out, and Allotments on or off — useful when you only want to see who's currently in-house, or to spot tentative bookings that need confirming. The Group filter and display mode toggle let you collapse group reservations or switch between showing the client name and the group name on each block.

Keyboard shortcuts

  • T — jump to today.
  • N — new reservation.
  • F — focus the search field.
  • L — toggle the legend.
  • ← / → — scroll forward or back.
  • Esc — close any open modal.

Real-time updates

The calendar uses a live subscription so you don't have to refresh. New reservations from the booking engine, channel manager updates, payments recorded by another front desk agent, and housekeeping status changes all appear automatically — useful when several people work the front desk at once or when the booking engine takes an online reservation mid-shift.
