Connecting Rooms in HotelBee

HotelBee enables properties to link two or more rooms together through its Room Connections feature. Connecting rooms is useful when several rooms need to be treated as a single sellable unit — for instance, adjoining rooms that are always offered together. The fundamental principle behind a room connection is straightforward: the connected room is represented twice within the system, and the associated payment is doubled accordingly. This guarantees that the guest is charged correctly for both units, while availability remains synchronised across every distribution channel.

All room connections are configured from the backoffice, so any change to how rooms are linked must be made there.

Where to Find the Feature

From the backoffice, open the Channel Manager section and select the Rate Calendar. On the resulting screen you will see the Room Connections panel, which lists any connections already in place. The Connect Rooms button on this screen opens the room_connection window used to create or edit a connection.

Step-by-Step Instructions

Step 1 — Open the Room Connections screen. Go to backoffice and navigate to Room Connections. Existing connections appear in the list, each identified by its name.

Step 2 — Start a new connection. Click the Connect Rooms button to open the room_connection dialog.

Step 3 — Name the connection. In the Name field, enter a clear and descriptive title so the connection can be recognised at a glance (for example, "Family Suite Link"). A meaningful name simplifies future management.

Step 4 — Choose the connection type. Select either Mutual or Main Room. Choose Mutual when both rooms should influence one another equally. Choose Main Room when one room is to act as the primary and the other should follow its status.

Step 5 — Select the rooms. Use the Rooms drop-down menu to choose the rooms to be joined within this connection.

Step 6 — Define where the connection applies. Under Applies To, tick the channels the connection should affect. Selecting All applies it everywhere at once; alternatively, choose individual destinations such as Reception, Booking Engine, Channex, HotelRunner, WebHotelier, Beds24, or Exely.

Step 7 — Activate the connection. Confirm that the Active toggle is switched on, so the connection takes effect immediately upon saving.

Step 8 — Save your changes. Click SAVE to confirm the connection. If you wish to discard it instead, click CLOSE.

After Saving

Once saved, the connection is applied across the selected channels, and the linked rooms behave as one unit — reflecting the same room twice and doubling the payment as intended. Connections can be edited or deactivated at any time by returning to the Room Connections screen and reopening the relevant entry. Reviewing these connections periodically helps ensure that availability and pricing remain accurate across all channels, reducing the risk of overbooking or mismatched rates and keeping the property's distribution consistent at all times.
