How to split a reservation

Verified May 2, 20262 min read

Splitting a reservation breaks one record into two (or more) so different parts of the original can be managed independently. HotelBee supports two split modes — by room and by date — both reachable from the reservation view's actions menu.

Split by room

Open the reservation, click the actions menu, choose Split by Room. Tick the rooms (one or more) that should move out into the new reservation. Decide whether to also split the invoice (default on). Confirm.

The original reservation keeps the rooms you didn't tick (with their guests, services, and prorated totals). The new reservation owns the ticked rooms with everything that was attached to them. Both end up in the same group, so the relationship is preserved.

Split by date

Same actions menu → Split by Date. Pick the split date — that becomes the new reservation's check-in and the original's check-out. If you want only some rooms to follow into the new reservation (e.g., the suite stays on the original; the standards become the new), tick the room item UIDs to separate. Otherwise all rooms split together.

Same Split Invoice toggle. Confirm. The original reservation now ends on the split date; the new one starts there. Pricing per night, services per night, and guests-per-night all redistribute automatically based on the split point.

When to use which

  • Group breaks up (3 friends booked together, one wants their own bill) → Split by Room.
  • Guest extends mid-stay under a different rate plan → Split by Date at the change point so each segment carries the right rate.
  • Honeymoon couple booked a Standard for 7 nights, upgrading to a Suite from day 3 → Split by Date on day 3, then move the new reservation's room to the Suite.
  • One room in a 4-room booking will be paid by the company; the other three by the host → Split by Room for the company room with Split Invoice on, billing party = the company.

After the split

Both reservations are now independent — different check-in/out flows, different invoices (if you split it), different payment trackers. They remain linked through the group, which you can open from either reservation's group field. Update billing parties, services, or notes on each reservation independently from there.
