Resetting a Forgotten Password in HotelBee: A Simple, Secure Self-Service Flow

HotelBee is designed to keep daily operations running smoothly for hotel staff, and that starts with quick, hassle-free access to the system. One of the most common support requests in any software platform is a forgotten password, and HotelBee addresses this with a self-service reset process that puts control back in the hands of the user — without requiring constant admin intervention.

When a staff member forgets their password, there's no need to file a support ticket or wait for an administrator to manually reset credentials. Instead, the user can resolve the issue themselves directly from the login screen, in just a few simple steps.

The process begins on the login screen, where the user selects the "Forgot Password" option. From there, HotelBee guides them through a straightforward two-step verification flow.

In the first step, the user enters their username and requests a verification code. The system automatically searches for the corresponding account and retrieves the email address linked to it, so no additional information is required upfront. HotelBee then sends a one-time verification code to that email address. As a security measure, the dialog box also displays a masked version of the email (for example, "j***@example.com"), confirming which inbox the user should check without revealing the full address on screen.

In the second step, the user retrieves the code from their email and enters it into the system, along with their new password — typed twice for confirmation. To reduce errors, HotelBee includes an eye icon that lets users toggle password visibility on and off while typing. Once everything is entered correctly, the user clicks "Reset Password" to complete the process.

A final confirmation screen then appears, letting the user know the reset was successful. From there, they simply click "Login" and sign in using their new password — no further steps required.

While this reset process is entirely self-service, administrators still play an important supporting role. It's essential that every user account in HotelBee has a valid, up-to-date email address on file, along with an ACTIVE status. Without these two conditions in place, the self-service reset cannot function, since the verification code has nowhere to be delivered.

By combining automation with clear security checkpoints, HotelBee reduces the burden on hotel IT staff and administrators while giving employees fast, independent access recovery — keeping front-desk and back-office operations moving without unnecessary downtime.
