How to edit a reservation
Plans change — guests extend stays, switch rooms, or update their payment method. You can edit any reservation directly from HotelBee at any point before, during, or after the stay.
Open the reservation
There are three quick ways to open a reservation:
- From the Reservations Calendar, click the reservation block.
- From the Reservations list, click the row.
- From a guest profile, open the Reservations tab and click the one you want.

What you can change
Almost every part of a reservation is editable from this screen:
- Dates — extend or shorten the stay; the rate recalculates against the active rate plan.
- Room or room type — move the guest to a different room. HotelBee blocks the move if the target room is already booked.
- Guests — replace the primary client, add or remove additional guests, edit ID/passport details before check-in.
- Services & extras — add breakfast, transfers, mini-bar items, or any custom service. Each appears as a line on the folio.
- Payments — record new payments or refunds, switch payment method, or move a payment between invoices.
- Note — visible to housekeeping and front desk on the calendar and reservation view.
- Status — check in, check out, mark no-show, or cancel from the action panel.
Change dates or extend a stay
Click Edit dates on the reservation, choose the new check-in and check-out, and confirm. If the new dates collide with another booking on the same room, HotelBee will warn you and offer a different available room. From the calendar you can also drag the edge of a reservation block to resize it; you'll be asked whether to keep the original price or update it.
Move the guest to another room
Open the accommodation section and click the room name to switch. From the calendar you can drag the reservation onto a different row — same confirmation dialog about price applies. Mid-stay moves keep the same folio; only the room number on the registration card changes.
Update or replace the guest
From the guests panel you can edit ID/passport, contact info, and address. To swap the primary guest entirely (a different person is now staying), use Replace client — the original guest's history is preserved and the new guest's profile is linked to this reservation.
Add or remove services and extras
In the services panel, click Add service, choose from your service catalog, set quantity and date, and save. Removing a service that's already invoiced creates a credit note rather than deleting the record — important for your accounting trail.
Split a reservation
Sometimes one reservation needs to become two — a guest extends and wants the new portion billed to a company, or a multi-room booking splits between separate folios. Use Split by Date to break the stay at a chosen date, or Split Reservation by Room to peel rooms onto their own reservation. Each resulting reservation has its own folio and payments.
Cancel a reservation
Open the reservation, then click Cancel. HotelBee asks for a reason (used in your reports) and frees the room for those dates. Cancelled reservations disappear from the calendar but stay searchable in the reservations list and in reports.
See the change history
Every edit is logged. Click Timeline on the reservation to see who changed what and when — useful when a guest disputes a rate or you're tracing a billing question.
